How to create, import, and manage locations for your organisation and activities.

Locations

Locations represent the physical places where your activities take place. You can create and manage a library of locations for your organisation, then link them to specific activities. Locations appear on maps in the app, helping young people find where to go.

Accessing Locations

Navigate to Locations in the sidebar to view and manage all your organisation's locations.

Location Types

There are two types of location:

Creating a Location

Manual Creation

  1. Click Add Location
  2. Fill in the location details:
    • Name — a clear, recognisable name
    • Type — address or area
    • Address — search for and select an address, or pin it on the map
    • Notes — additional details about the location (max 500 characters)
  3. Click Save

When adding an address, you can:

  • Type an address to search and select from suggestions
  • Use the map to pinpoint the exact location
  • Manually enter address fields if the search does not find your location

Importing Locations via CSV

For organisations with many locations, you can bulk-import from a CSV file:

  1. Click Import on the Locations page
  2. Download the CSV template to see the required format
  3. Fill in your location data in the template
  4. Upload the completed CSV file
  5. Review the imported locations and confirm

Exporting Locations

To export your locations for backup or reporting:

  1. Click Export on the Locations page
  2. A CSV file downloads with all your location data

Map View

You can view individual locations on a map by clicking the map icon on a location entry. This helps you verify the correct address and see the surrounding area.

Linking Locations to Activities

Locations are connected to activities during activity creation or editing:

  • Events — require exactly one location. Select a location from your library when setting up the event.
  • Informal activities — can have multiple locations or none at all. Link as many locations as relevant.

You can also start creating an activity directly from the Locations page by selecting a location and clicking Create Activity.

Tip: Set up your most-used locations first, then reuse them across multiple activities. This saves time and ensures consistency.

Editing and Deleting

Editing

Click any location to update its details, address, or accessibility information. Changes are reflected across all activities linked to that location.

Deleting

Click Delete on a location to remove it. If the location is linked to any activities, you will be warned before deletion.

Sorting and Searching

  • Search — use the search bar to find locations by name or address
  • Sort — click column headers to sort by name, address, or type
  • Pagination — browse through locations if you have many

Accessibility Information

For each location, you can add details about accessibility and accommodations. This helps young people understand whether the venue is suitable for their needs and encourages inclusive participation.
