How to configure membership settings, manage join requests, and organise your organisation's members.

Membership Management

Membership allows young people to join your organisation on Impactful, creating a closer connection and enabling ongoing engagement. You can control how people join, manage your member list, and communicate with your community.

Accessing Membership

Navigate to Organisation > Membership in the sidebar. This section is available to owners and admins.

Membership Tabs

The Settings tab has two views you can switch between: Membership Settings and Notification Settings.

Join Methods

Configure how young people can join your organisation:

Automatic Approval

Anyone can join your organisation instantly. No approval is needed — when someone taps Join, they become a member immediately.

Manual Approval

Join requests go to a pending queue. You review each request and decide whether to approve or reject. Young people receive a notification about your decision.

Membership Settings

Additional settings you can configure:

  • Minimum age — set a minimum age requirement for joining (checked at join time)
  • Maximum age — set a maximum age limit
  • Allow re-application — let previously rejected applicants apply again
  • Required fields — choose what information members must provide:
    • Legal Name (always required)
    • Contact Email (always required)
    • Date of Birth
    • Mobile Number
    • Bio / About Me
    • Address
  • Legal documents — require acceptance of terms or consent forms when joining
  • Join message — an optional message shown to applicants (useful for explaining requirements or providing context)

Managing Join Requests

When using Manual Approval mode:

  1. Click the Requests tab
  2. Review pending join requests with the information the applicant provided
  3. Click Approve to accept the member or Reject to decline
  4. The applicant receives a notification about your decision

Rejected requests appear in the Rejected sub-tab. If re-application is enabled, rejected applicants can try again.

Managing Members

The Members tab shows all current and former members:

Approved Members

  • View member profiles and their activity completion counts
  • See when they joined your organisation
  • Track their engagement with your activities

Removing Members

To remove a member:

  1. Find the member in the Members tab
  2. Click Remove
  3. The member is moved to the Removed sub-tab and receives a notification

Blocking Members

To permanently prevent someone from joining:

  1. Click Block on the member's entry
  2. The person is moved to the Blocked tab and cannot re-apply

To unblock someone, go to the Blocked tab and click Unblock.

Communication Templates

Configure automatic notifications for the membership lifecycle from the Notification Settings view within the Settings tab:

  • Membership Requested — sent when someone requests to join
  • Membership Accepted — sent when you approve a request
  • Membership Rejected — sent when you decline a request
  • Membership Removed — sent when someone is removed
  • Membership Blocked — sent when someone is blocked

Each template supports in-app and push notification channels. Push notifications are available for accepted and rejected templates. You can customise the message content for each.

Tip: Keep your acceptance message warm and informative. Tell new members what to expect and how to get involved with your activities.

Real-time Updates

The membership management interface updates in real time. When a new join request arrives, it appears automatically with a badge indicator in the sidebar, so you never miss a new request.
