Creating and Managing Activities

Activities are the core of your organisation's presence on Impactful. They are what young people register for, participate in, and complete to earn Impact Coins. Impactful Connect lets you create two types of activities and manage them through their full lifecycle.

Activity Types

TypeDescriptionKey Characteristics
EventA scheduled activity with specific datesRequires one location, has start and end times, supports registration management
InformalA flexible activity with no fixed scheduleOptional dates, can have multiple locations, self-directed participation

Creating an Activity

Manual Creation

  1. Navigate to Activities in the sidebar
  2. Click Create Activity
  3. Enter a title for your activity
  4. Select the type (Event or Informal)
  5. For informal activities, optionally select a display type
  6. Click Create

Your activity is created as a draft and you can now fill in the details.

AI-Assisted Creation

Impactful Connect offers AI-assisted activity generation to help you get started quickly:

  1. Click Create Activity
  2. Select the AI-assisted option
  3. Provide a brief description of what you want
  4. The AI generates activity details including title, description, outcomes, and instructions
  5. Review and edit the generated content
  6. Save your activity

Note: AI-assisted creation is a beta feature. Always review the generated content to ensure it accurately represents your activity.

Activity Detail Sections

Once created, fill in these sections to complete your activity:

Basic Information

  • Title and description — what the activity is about
  • Duration — how long it takes
  • Difficulty level — how challenging it is
  • Age range — minimum and maximum participant age
  • Start and end times — for events
  • Banner image — an eye-catching image for the activity listing
  • Video — an optional YouTube or Vimeo link

Locations

Link locations to your activity. Events require exactly one location, while informal activities can have multiple.

See Locations for how to create and manage locations.

Classifications

  • Causes — up to 10 cause areas (e.g., Education, Environment)
  • Beneficiary groups — up to 10 groups the activity supports

Outcomes

  • Personal enrichment — how participants benefit personally
  • Skills developed — up to 20 skills participants will gain
  • Learning outcomes — up to 20 specific learning goals

Instructions

Add activity instructions to guide participants through the activity. Include preparation steps and what to expect.

Support

Configure additional support information for the activity.

Communications

Configure notification templates that are sent when:

  • The activity is published — notify registered participants
  • The activity is completed — notify participants about completion

Templates support in-app and push notification channels.

Registration (Events only)

Configure registration settings and manage registrants. This section is only available for event-type activities. See Managing Registrations for full details.

Views and Navigation

Grid and List Views

Toggle between views using the view selector:

  • Grid view — card-based layout (default)
  • List view — tabular layout with sortable columns

Your view preference is saved automatically.

Activity Tabs

  • Published — live activities visible to young people
  • Draft — work-in-progress activities
  • Completed — finished activities (read-only)

Managing Activities

Publishing

When your activity is ready, click Publish to make it visible. All required fields must be complete before publishing.

Unpublishing

Click Unpublish to hide an activity from young people. The activity returns to draft status.

Warning: If an event has registered participants, unpublishing will affect their access. Consider communicating with registrants before unpublishing.

Running Again

For completed activities you want to repeat, click Run Again to create a new version with the same details.

Deleting

Click Delete to permanently remove an activity. You will be asked to confirm, and a warning appears if the activity has registered participants.

Bulk Actions

Select multiple activities using the checkboxes, then use bulk actions to:

  • Publish multiple drafts at once (validation checks are run on each)
  • Unpublish multiple published activities
  • Delete multiple activities

Tips

Tip: Write compelling descriptions that explain not just what participants will do, but why it matters. Activities with clear outcomes and engaging descriptions attract more registrations.

Tip: Use the AI-assisted creation to draft your activities quickly, then customise the details to match your specific needs.
