How to configure registration settings and manage participant sign-ups for your activities.
Managing Registrations
Registrations control how young people sign up for your activities. You can choose between automatic and manual approval, manage individual registrants, and configure the information you collect during sign-up.
Accessing Registrations
- Navigate to Activities in the sidebar
- Click on an activity to open its details
- Click the Registration section
Registration Settings
Enabling Registration
Toggle Registration Enabled to allow young people to register for your activity. When disabled, no new registrations are accepted.
Approval Mode
Choose how registrations are processed:
| Mode | How It Works |
|---|---|
| Open (auto-approve) | All registrations are approved instantly. Young people can start the activity immediately. |
| Manual approval | Each registration goes to a pending queue for you to review and approve or reject individually. |
Tip: Use auto-approve for large-scale activities where you want maximum participation. Use manual approval when you need to vet participants or limit numbers.
Required Information
Configure what information young people must provide when registering. Available fields include:
- Legal name
- Contact email
- Date of birth
- Mobile number
- Bio
- Address
Young people consent to share this data when they register. For membership-scoped data, the record is permanent. For activity-only registrations, data is automatically retained for 90 days after the activity ends.
Legal Documents
You can require participants to accept legal documents (such as consent forms or terms of participation) during registration. Add documents with a name and URL.
Managing Registrants
Registration Tabs
The registration management area has several tabs:
- Attendees — view approved and removed registrants
- Requests — view pending and rejected requests (only visible when manual approval is enabled)
- Settings — configure registration mode and templates
- Blocked — view and manage blocked registrants (only visible when there are blocked users)
Approving Requests
When manual approval is enabled:
- Click the Requests tab
- Review pending registrations
- Click Approve to accept or Reject to decline each request
- The registrant receives a notification about your decision
Viewing Registrants
The Attendees tab shows:
- Approved registrants with their details
- Completion counts for each participant
- Sub-tabs for Approved and Removed registrants
Removing Registrants
To remove someone from an activity:
- Find the registrant in the Registrations tab
- Click Remove
- Confirm the action
The registrant is moved to the Removed sub-tab and receives a notification.
Blocking Registrants
To permanently prevent someone from registering:
- Find the registrant
- Click Block
- The person is moved to the Blocked tab and cannot re-register
To unblock, go to the Blocked tab and click Unblock.
Notification Templates
Configure automatic notifications that are sent during the registration lifecycle:
- Registration requested — sent when someone registers
- Registration approved — sent when you approve a request
- Registration rejected — sent when you decline a request
- Registration removed — sent when you remove a registrant
- Registration blocked — sent when you block a registrant
Templates support in-app and push notification channels. Customise the message content for each notification type.
Completed Activities
Once an activity's end date has passed, registrations become read-only. You can still view the registrant list and their completion data, but you cannot approve, reject, or remove registrants.
Note: Real-time updates are enabled for registrations. When a new registration request arrives, it appears automatically without needing to refresh the page.
